Your Opportunity:

The Admin III position is a key member of the Child and Adolescent Emerging Adult Service reporting to the Manager of Specialized Services in the Child & Adolescent Addictions and Mental Health Psychiatry Program. The Administrative Support III provides a wide range of clerical support towards the daily operations of this Initiative. Duties include complex group scheduling, appointment management, system and supplies management, reception, excel spreadsheet management and data base entry. The Admin III also provides support to the clinical team by scheduling rooms and clinical space, managing waiting list contacts, scheduling groups and appointments, creating and managing virtual appointments, greeting clients and families, managing the waiting area and virtual spaces. The person must have advanced computer skills with proficiency in Excel, Power Point, Word, Outlook Calendar/Outlook, and Connect Care with capability to learn and use other systems. The Administrative Support III requires excellent time management, conflict resolution skills, stress management and problem solving skills, must be organized and able to prioritize work and manage multiple work demands, possess good oral and written communication skills, be proficient in the English language, and maintain confidentiality at all times. Experience working in an out-patient or in-patient area in Mental Health or Addictions Services is essential. The Emerging Adult population of patients has unique communication needs - a passion in working with this population is critical! This temporary full-time position will support the Emerging Adult Services Hub clinical staff to provide timely access to care and address unmet need of Emerging Adults. A calm, capable, grounded manner is essential to working with this population.

Required Qualifications:

Completion of Grade 12 or equivalent.

Additional Required Qualifications:

3-5 years experience working in a clerical position within a Mental Health and/or addiction setting. Experience booking in a complex clinic with individual, specialists and Group care. Experience taking initiative to anticipate and solve problems within a multi-disciplinary care team. Ability to work with patients and families with understanding, patience and from a Family Centered Care perspective. Maintains current knowledge in computer skills and required data bases. Advanced knowledge of computer programs: Connect Care, Windows, Excel, MS Word, Outlook, Powerpoint. Demonstrated excellent time management and organizational skills. Ability to execute sound judgment and utilize resources judiciously and appropriately. Demonstrated ability to be flexible and willing to take initiative. Effective interpersonal and communication skills. Ability to promote teamwork and partnerships. Ability to work effectively with minimal supervision in a fast -paced environment. Ability to work with multiple professionals and community resources, Ability to work collaboratively and effectively with service providers internal and external to Recovery Alberta. Demonstrated superior verbal and written communication skills in the English language. Ability to solve a range of problems and to welcome patients and families who have experienced trauma and adverse experiences at other care points.

Preferred Qualifications:

Working under minimal supervision and direction, the Admin III utilizes skills to assist clients to access and staff to work in a busy, tertiary MH clinic in Child and Adolescent MH. Completion of an Office Administration, or Administrative Professional diploma or equivalent.
