Your Opportunity:

Reporting to the Manager or designate, the Administrative Support IV is responsible for the provision of administrative support including coordination of client and multiple provider appointment scheduling, advanced administrative services, and complex coordination of schedules/activities for the Addiction and Mental Health staff. A high standard of interpersonal communication is required, as well as strict adherence to the confidentiality of health information, attention to detail, organization, flexibility, and initiative. This position will regularly support and represent our program through working collaboratively with physicians, staff and the multidisciplinary team and other Addiction and Mental Health services, community agencies, clients, and families. You will respond to difficult client issues and complaints in a polite, professional, appropriate manner and be aware of emergency procedures when dealing with difficult clients. You will utilize critical thinking skills, when providing services and interacting with co workers. Additional duties will also include managing and tracking incoming client referrals, maintenance of work queues, payroll management, and other duties as assigned. You will have an awareness of the Mental Health Act and Community Treatment Orders Legislation and prepare the required forms associated.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

High school diploma with post-secondary Secretarial Certificate/Medical Office Assistant/Business Administration (or related education) or equivalent experience to support advanced administrative work. Administrative and staff scheduling experience is required and an asset. Minimum 2-3 years progressivity responsible experience in an administrative role. Must have proficient use of the English language oral and written. Must have ability to sit for extended periods with repetitive hand movements, keyboarding, and telephone handling, with the ability to work in a busy, noisy work environment. Must be able to lift file boxes up to 20lbs. Ability to ambulate, climb stairs, and move quickly without limitations in a variety of environments.

Preferred Qualifications:

NVCI Non-Violent Crisis Intervention. Proficiency in Microsoft Office, electronic health record systems, and strong written skills including grammar and proofreading are required. Excellent communication, organization, and interpersonal skills are essential. The role demands independence, flexibility, sound judgment, and the ability to work under pressure while maintaining confidentiality and handling sensitive issues appropriately.
