We are currently recruiting for Administrative Assistant (Admin V), Medical Affairs position to support four Medical Leadership roles . Reporting to the Manager, Medical Affairs, you will serve as the key administrative support ensuring the seamless operation of the Medical Leaders portfolios and helping drive impactful initiatives. In this role, you will demonstrate strong communication and organization skills while collaborating with university, operational, and clinical stakeholders. You will be responsible for prioritizing tasks, managing multiple projects, and meeting deadlines in a fast-paced, time-sensitive environment. Your ability to exercise sound judgment, professionalism, diplomacy, and discretion when handling highly sensitive and confidential matters will be essential. This position’s location is located at the University of Alberta Hospital in Edmonton and is eligible for the hybrid work arrangement. Completion of post-secondary education (e.g. certificate in office or business administration).
Additional Required Qualifications:As the Administrative Assistant, you will provide specialized administrative functions to support the portfolio. Additionally, the Administrative Assistant requires advanced administrative or specialized skills and knowledge to support procedures, practices, and initiatives within the portfolios. This position plays a crucial role in ensuring efficient operations by handling a wide range of projects and tasks simultaneously. Key responsibilities include coordinating and supporting activities related to calendar management, managing communications, handling physician and resident on call schedules and input into the ROCA system, physician and sessional payments, and preparing necessary background materials and documentation for initiatives and meetings. Working independently, this position is responsible for the physician onboarding and recruitment for the portfolios they support. The role requires prompt and effective communication, responding to information requests and compiling and relaying confidential materials in a timely manner. Additional duties include managing day-to-day emails and inquiries, proactively handling documents and file management, and providing support for invoices and day-to-day needs.
Preferred Qualifications:Minimum of two years’ experience in a senior administrative role supporting executive or medical leaders. Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS Teams), and working knowledge of SharePoint software. Experience with ROCA physician on call scheduling system. Experience supporting Medical Affairs and physician portfolios considered an asset. Minimum of two years’ experience working within a large and complex healthcare organization.
